Application Vetting Protocol

Step 1 - Access the Applicant Tracking System (ATS)

Step 2 - Locate and Select Received Applications

  • You can view applications within the Applicant Tracking System (ATS) from either:

    • The Job Openings tab.

      • Select the Appropriate Job Opening.

    • The Candidates tab.

    • The Talent Pool tab.

      • To continue with this option, the Candidate Status must be updated to active status.

  • Select the applicant’s name to view the new application.

Step 3 - Vetting a New Application

  • Confirm the application does not match a previous application submitted by the applicant:

    • For the same Job Opening; and

    • That the previous application still is in continued consideration.

  • Confirm the applicant has not been previously disqualified for further consideration:

    • When a Candidate Status of Disqualified for Reconsideration has been previously used for an applicant, whether for the applied position or other position, the applicant automatically cannot be considered for employment.

      • IMPORTANT: Only the Company’s Human Resources (“HR”) department, or approved designee, may issue a Candidate Status of Disqualified for Reconsideration to an applicant for the first time.

  • Confirm the application includes:

    • Résumé

      • Due to cybersecurity concerns, do not download résumés that are not able to be previewed in the ATS if possible.

    • Cover Letter (if required)

      • Due to cybersecurity concerns, do not download cover letters that are not able to be previewed in the ATS if possible.

    • References (if required)

    • Phone Number

    • Email Address

    • Answered Applicant Questions

  • Confirm that the following are not of poor quality (e.g. grammatical and/or formatting errors, pictures of a piece of paper, created in notes application, etc.):

    • Résumé

    • Cover Letter (if required)

  • Confirm the applicant generally meets or exceeds the positions experience/education requirements as identified in the Job Description.

  • Confirm there is no ability to determine previous employment dates.

  • Confirm Application Questions are answered appropriately and meet the Company’s expectations along with your own.

    • If unsure how to process, contact trained Company’s Human Resources (“HR”) department personnel if you have questions when an applicant meets all the requirements of the Company and your expectations, but has answered:

      • No - Are you authorized to lawfully work in the United States?

      • Yes - Will you now or in the future require Dow Aero, LLC to commence (“sponsor”) an immigration case in order to employ you (e.g. H-1B)?

    • Consult with the Company’s FAA Drug Abatement Designated Employer Representative (DER) if you have questions when an applicant meets all the requirements of the Company and your expectations, but has answered:

      • Yes - Have you tested positive, or refused to test, on any pre-employment drug or alcohol test administered by an employer to which you applied for, but did not obtain, safety-sensitive responsibilities by Department of Transportation (“DOT”) agency drug and alcohol testing rules during the past two years? DOT 49 CFR Part 40, § 40.25(j)?

      • Yes or No - If you answer yes to the previous question, are you able to provide documentation that you can successfully complete DOT return-to-duty requirements, which are described in DOT 49 CFR Part 40, Subpart O, including the initial and follow-up reports from a Substance Abuse Professional and follow-up testing results?

Step 4 - Determining Candidate Status

Set the applicant’s Candidate Status for continued consideration to:

  • Duplicate - The application matches a previous application submitted by the applicant, and that is still in consideration.

  • Inadequate Employment Lengths - The applicant’s previous employment history shows a pattern of moving from one job to the next in a short time frame (usually less than a year at each position).

  • Disqualified for Reconsideration - The applicant has previously received this status and is no longer permitted to be considered for any position.

    • IMPORTANT: Only the Company’s Human Resources (“HR”) department, or approved designee, may issue a Candidate Status of Disqualified for Reconsideration to an applicant for the first time.

  • Résumé Missing - If the Résumé is missing from the application.

    • Includes uploads that are not a Résumé (e.g. cover letter, letter of recommendation, etc.).

  • Résumé Quality - If the Résumé uploaded is in poor condition.

    • Includes grammatical and/or formatting errors, pictures of a piece of paper, created in notes application, etc.

  • Cover Letter Missing - If the required Cover Letter is missing from the application.

    • Includes uploads that are not a cover letter (e.g. Résumé, letter of recommendation, etc.).

  • Cover Letter Quality - If the Cover Letter uploaded is in poor condition.

    • Includes grammatical and/or formatting errors, pictures of a piece of paper, created in notes application, etc.

  • Required File Not Previewing - If the uploaded résumé and/or cover letter is not able to be viewed in the Applicant Tracking System (ATS).

    • Due to cybersecurity concerns, do not download résumés or cover letters that are not able to be previewed in the ATS.

  • Lacks Legal Work Authorization - If applicant answered No to the question, “Are you authorized to lawfully work in the United States?“.

  • H1-B Visa Requirement - If applicant answered Yes to the question, “Will you now or in the future require Dow Aero Logistics, LLC to commence (“sponsor”) an immigration case in order to employ you (e.g. H-1B)?“.

  • Excessive Criminal Background - If applicant answered Yes to the question, “Have you ever been convicted of a felony or misdemeanor? If so please explain.“, and:

    • Failed to explain;

    • The criminal history contains repeat and/or numerous occurrences with no perceived signs of improvement;

    • The criminal history contains acts of violence; and/or

    • The criminal history contains violations that are perceived to be problematic for the applied position.

      • e.g., history of multiple drug abuse and/or possession convictions for a safety-sensitive position or fraud convictions for an accounting/financial position.

  • DOT/FAA Drug or Alcohol Violation - If the applicant admitted to testing positive, or refused to be tested, for a pre-employment drug or alcohol test within the last two (2) years.

Step 5 - Send Email Template to Applicant with Discontinued Consideration (If Necessary)

Send the following email template to the applicant for the corresponding Candidate Status; update the Candidate Status as reflected:

  • Email Template | Regret to Inform - Applicant

    • Candidate Status | Not Qualified -> Not Qualified (Notified)

    • Candidate Status | Inadequate Employment Lengths -> Inadequate Employment Lengths (Notified)

    • Candidate Status | Disqualified for Reconsideration -> Disqualified for Reconsideration (Notified)

    • Candidate Status | Previous Employee - Not Eligible -> Previous Employee - Not Eligible (Notified)

    • Candidate Status | Résumé Missing -> Résumé Missing (Notified)

    • Candidate Status | Résumé Quality -> Résumé Quality (Notified)

    • Candidate Status | Cover Letter Missing -> Cover Letter Missing (Notified)

    • Candidate Status | Cover Letter Quality -> Cover Letter Quality (Notified)

    • Candidate Status | Lacks Legal Work Authorization -> Lacks Legal Work Authorization (Notified)

    • Candidate Status | H1-B Visa Requirement -> H1-B Visa Requirement (Notified)

    • Candidate Status | Excessive Criminal Background -> Excessive Criminal Background (Notified)

    • Candidate Status | DOT/FAA Drug or Alcohol Violation -> DOT/FAA Drug or Alcohol Violation (Notified)

  • Email Template | File Preview Issues

    • Required File Not Previewing -> Required File Not Previewing (Notified)

* When Duplicate is selected as the Candidate Status, do not submit an email to the applicant notifying of discontinued consideration.
