Facilities Management

Dow Aero (“Company”) has created comprehensive policies, processes, and guidelines relating to the management and servicing of its facilities on the subjects of:

  • Heating and Cooling

  • Energy Management Control

  • Security Management Control

  • Grounds Management Maintenance

  • Building Management Maintenance

  • Severe and Inclement Weather

This page represents the management for facilities on the premises of 6800 Camille Avenue, Oklahoma City, Oklahoma 73149.

Heating and Cooling

Temperature Controlled Environment 

  • Environments with climate controls shall have doors and windows closed during operation.

    • Exemption can apply during construction activities or services.

  • Certain enviroments may required very specific climate controls to protect sensitive equipment.

    • e.g., avioncs and Coordinate Measuring Machine (CMM) areas.

    • Refer to specific departmental policies/procedures for more information.

HVAC Services

  • Heating, Ventiliation, and Air Conditioning (“HVAC”) filters shall be replaced after four (4) months of use for all workspace, including office and shop environments.

    • Environmental Health & Safety (EH&S) and approrpiate designees are responsible for filter replacements.

    • Filter replacment and inspections are maintained within iAuditor web portal or the mobile app for iOS or Andriod devices.

  • HVAC cleaning and servicing are performmed annually.

    • e.g., cleaning coils and charging.

      • If chemicals and gasses are to be used, only a certified provider may perform these services.

Space Heaters and Personal Fans

  • Personal cooling and heating accessories shall be used in accordance with manufacture instructions and while maintaining safe pratices.

    • These devices shall be turned off during unattended periods.

      • e.g., leaving office space for an appointment/meeting or when taking a meal period.

Energy Managment Controls

Thermostats

  • Programing and management of thermostats are under the control of the Company’s Information Technology (“IT”) department, Senior Managment division, and other approrpiate designees.

    • When paired with Google Nest Smoke/CO2 alarms, thermostats will turn off immeaditely upon a triggering event.

    • Thermostat manufacture is Google Nest, which can be managed directly with a known passcode or remotelty using the Google Home app for iOS or Andriod.

    • To request the passcode for direct acccess or credientials to Google Home, contact the Company’s IT department.

    • When excessive smoke or volitile organic compounds (VOC) are present in a work environment, consider opening overhead doors and turning off HVAC units.

Flood Lights

  • Ouside premimeter lights are generally contolled by photo-cell sensors to turn on and off depending on ambient light.

    • Some lights can be controlled by timers.

Energy Efficient Controls

  • Typically shall be scheduled by hourly time contol following the work schedule.

Security Management Control

Key Inventory Controls

  • Keys shall be requested from either the Company’s Human Resources (“HR”) department or Senior Management by an employee’s direct superior.

    • Any key assigned to an employee shall be recorded immediately within their Gear tab of the Company’s Human Resources Information System (“HRIS”), currently BambooHR.

    • Upon returning a key, it shall be removed from the employee’s HRIS profile.

    • In the event of a lost key, employees shall communitcate this incident to their direct superior immedaitely.

      • The lost key must be recorded within the employee’s HRIS profile and a payroll deduction may be applied for replacement.

Badges

  • Each new employee or contractor shall be provided a badge when a security access system is present for the particular workplace.

    • Badges are programmed by the Company’s Information Technology (“IT”) department.

      • Access restictions can apply to certain areas.

    • This equipment shall be recorded immedaitely within the employee’s Gear tab of the Company’s Human Resources Information System (“HRIS”), currently BambooHR

  • Employees shall not share their badge.

  • Upon returning a badge, it shall be disabled by the Company’s IT department and removed from the employee’s HRIS profile.

  • In the event of a lost badge, employees shall communitcate this incident to the Company’s IT department immedaitely.

    • Any lost or damaged badge must be recorded within the employee’s HRIS profile and a payroll deduction may be applied for replacement.

      • Do not attempt to tamper the badge, which can result in disciplinary action up to termination of employment.

Security Cameras

  • All surveillance cameras are to be administed by the Company’s Information Technology (“IT”) department.

    • Unauthorized video/audio recording devices may not be used on any Company premises or job site, nor can they be positioned towards Company property unless permitted by managment or federal, state, or local law.

      • (e.g., drones)

    • Do not attempt to tamper the cameras and other security devices, which can result in disciplinary action up to termination of employment.

Smoke and Carbon Dioxide Detectors

  • All smart smoke and CO2 detectors are to be administed and maintained by the Company’s Information Technology (“IT”) department.

    • Shall be tested monthly or as instructed by manufacturer.

    • Replace as as instructed by the manufacturer or when inoperable.

Alarm System

  • All alarm systems are to be administed by the Company’s Information Technology (“IT”) department.

    • An access code shall be requested from the Company’s IT department by an employee’s direct superior.

    • Access codes may not be shared.

  • These systems can be monitored by third-party service provide, along with designated personnel within the Company.

Grounds Maintenance Services and Providers

Mowing & Trimming

  • Routine grass mowing and trimming typically occurs every other week, from April through October.

    • Primary provider -

  • Routine tree trimming typically occurs annually or as needed.

    • Primary provider - Martinez Construction & Landscaping.

    • Scheduled by Ronda Hudson-Dowding.

  • Back lot mowing services generally occurs twice annually, as needed.

    • Primary provider - Martinez Construction & Landscaping

    • Scheduled by Ronda Hudson-Dowding or Genaro Fernandez.

Spraying/Fertilizing

  • Routine spraying/fertilizing services generally occurs quarterly.

Pest Control

  • Generally perfommed once annually outside of normal business hours.

Parking Lot/Driveway Maintenance and Repair

  • Performed as needed.

Dirt Work or Removal

Scrap Metal

  • Routine scrap metal pickups generally occurs every two to three months or as needed.

    • Request typically take five (5) business days to fulfill.

Environmental Waste

  • Routine environmental waste recovery generally occurs every six (6) months or as needed.

Document Destruction

  • Routine document and data destruction services generally occurs every three (3) months or as needed.
